Aquarius ASP Hosted Solution

Aquarius offers a low cost way to begin scanning with a minimal investment. Just purchase a scanner and sign up for one of our monthly Scan-Plans and your ready to go. Our web based scanning software does not require you to load any software...just sign in to our secure web site and you’re ready to scan! Scan your batches and index them manually or let us show you how to automate the indexing using bar-codes. Once you complete a batch, the images and indexes are transferred securely via an internet connection to our server and available immediately via a standard web browser (with security authorization). Your batches are processed as they are submitted by OCR (optical character recognition) allowing you to search for patients within the batch quickly. Each month you receive a CD or DVD of your images complete with a free copy of the Aquarius viewing software! You also earn credit toward purchasing any of our In-House solutions.

Aquarius DMS

DMS is our core document management solution that manages the scanning, indexing, storage, and archiving of your documents. A built-in CD/DVD creation module allows archiving to a CD/DVD disk with a free Aquarius viewer. Archive, deliver clients a copy of their own files or offer scanning services to your clients. With over 50 installations ranging from a two person billing company with 200 pages per day to a 130 person company that scans over 25,000 per day, Aquarius DMS is a proven performer with unparalleled flexibility.

Remote Capture with Web.SCAN

Let your clients deliver their documents to you electronically! Using the technology developed for Aquarius.ASP, your clients can scan and using SSL encryption, securely transfer their billing documents to your server. Aquarius DMS can "mark" them for processing and your employees can work directly from the image. Web.SCAN speeds up the revenue cycle, eliminates shipping costs and reduces the scanning load at your facility.

World Export

EOB Processing

The Aquarius Forms Processing solution can automate the data entry of common EOB forms. An intelligent template is created that is capable of interpreting the data on the page. An extensive series of edits are performed to insure data and batch accuracy. Data is then exported in one of several standard data formats to be imported into your billing system.

Case Study 1

A three employee billing company operating out of their home was running out of space. They were adding paper files at the rate of over 300 pages per day and would soon have to store files off-site. With concerns over the security and disaster preparedness of their filing system they began looking for a solution. The installed Aquarius in August of 2002 and emptied out the extra bedroom that was over-run with files. They have since added 2 additional employees (working from the emptied bedroom) and are continuing to add clients without the need to relocate or rent additional office space.

Case Study 2

A 80 employee medical billing company had a 15,000 sq.ft. building with half dedicated to file storage. With over 10 records storage boxes worth of new documents coming in each day there was no end in sight. Aquarius was installed in September 2001 and the incoming stream of paper that needed to be filed was stemmed. Patient charts and EOB's are scanned daily into the system daily. Charts are logged in to their billing system and assigned a chart number which is printed on a label in barcode format. Files are routed through data entry and forwarded to the records department for scanning. Aquarius scans the chart and indexes it by the barcode information automatically.

Eob's are scanned in batches by client and by posting date. All pages are OCR'ed (converted from an image to searchable text).

Researchers can pull up the chart in seconds by entering the chart number (referenced in their billing system). EOB batches can be located quickly by the client and posting date (also available in their billing system). The full text search feature allows quick access to the exact page within the EOB batch.

Since beginning scanning they have recovered 1/2 of the space previously used for records and converted it to space for more billers and customer service agents. They currently have over 130 employees in the same building.

Case Study 3

A 16 employee billing company was running out of space due to file storage. They researched scanning solutions and decided on Aquarius because of the Web.SCAN remote capture capability.

5 of their largest clients have been set up to remotely scan their daily batches using Web.SCAN. Preprinted barcode sheets identify the work and send it to the appropriate billing clerk for data entry from a 2nd flat panel monitor dedicated to the images.
